How do I print address labels from the address book? (Palm Desktop versions 4.x)

  1. If you have not done so already, perform a HotSync operation to synchronize the Address Book between your Palm connected organizer and Palm Desktop.
  2. Start Palm Desktop and select the Address Book application.
  3. From the list of records, select the records you would like to make into address labels.
  4. Click on 'edit' in the file menu and select 'Sent to'. A submenu should appear, click on MSWord.
  5. Microsoft Word begins creating a new document with your data. In the dialog box that appears, select Mailing Labels under Drag To Action and click OK.
  6. A new dialog box appears, instructing you to "click 'Setup' in the next window to finish creating labels." Click OK.
  7. The Mail Merge Helper window appears. Click the Setup button under the "1: Main Document" section.*
  8. The Label Options window appears. Select the correct printer options and the type of preformatted labels you are using. Click OK.
  9. The Create Labels window appears. Pull down the Insert Merge Field menu. The names of all the Address Book fields appears in this menu. Select the first item listed in your labels (i.e. First_Name). Your selection appears in the Sample Label area. Insert all the appropriate Address Book field names and punctuation for your mailing labels (including commas and line breaks).
  10. In the Mail Merge Helper window, click the Merge button in the "3: Merge the Data with the Document" section.
  11. The Merge window appears. In the Merge To field area, select New Document. After checking the other settings, click Merge.
  12. Your document window now shows your labels as they will be printed. *NOTE: If you have any difficulties within the MS Word label setup, visit www.microsoft.com for support.
